My CFIA - Manage my account

Before you start

You must be logged into My CFIA to begin making changes to your account.

For information about logging into My CFIA, see Get Started.

Dashboard overview

The dashboard is your homepage and is the first screen you will see when you log into My CFIA.

The dashboard displays information about your My CFIA account, including your Profile Name, and contains links to allow you to manage your profile, enrol a regulated party or business or request a service for a party already enrolled.

Note

The navigation bar at the top of the dashboard provides links to return to the dashboard, to manage your profile and to logout.

Managing Your Contact Profile

Step 1: Know Your Dashboard

Select Manage Profile from the navigation bar at the top of your dashboard to begin to modify the information related to your Contact Profile for My CFIA.

Step 2: Update Your Contact Profile

The Manage Profile screen will open and display your contact profile information.

Review and update the information, as required (e.g. changing last name from maiden to married name):

Select the Submit button.

Managing Your Party Profile

From your dashboard, you may enrol a new party or view/manage the party profiles for which you are the Profile Manager.

For information on Enrolling a New Party/Enter Invite Code, see Get Started.

Step 1: Selecting a Party Profile

If you are associated to only one party profile in My CFIA, that party profile will be displayed on your dashboard.

If you are associated to more than one party profile, select the party profile you want to view or manage from the Select Party drop-down menu and select the Submit button. The dashboard will refresh to display information related to the selected party profile.

When the correct party name is displayed in the Select Party field, select the Manage Party link.

Note

The status of the party profile is displayed in parentheses after the business name. If the status is Draft, the party profile has not yet been submitted. If the party profile has been submitted, and invitations to a Profile Manager or Profile Authority have been accepted, the status will display as Active. If the invitations have not been accepted, the status will display as Pending. If the party profile has been validated by the CFIA, the status will display as Validated.

Note

Changes to an active or validated party profile may affect in-progress service requests and/or active permissions. It is recommended that you call 1-800-442-CFIA (2342) to request an amendment where required.

Step 2: Managing Party Profiles

On the Manage Party page, the various sections of your party profile are identified by blue bars.

To view the information within each section, select the right-pointing white arrow on the blue bar for that section. The section will expand to display the section details and the arrow will change to downward-pointing. To hide section details, select the downward-pointing white arrow. The section details will be hidden and the arrow will point right.

The sections on the Manage Party page are as follows:

The Edit links next to the fields on the Manage Profile page indicate the fields where you can make changes. Select any Edit link to begin modifying the party profile.

Edit Business Information

The fields on the Enter Business Information section are as follows:

Make the necessary changes to the information and select the Save button.

Select the Cancel button to abandon any changes.

Select the Return to Manage Party button if you want to return to the Manage Party screen without saving any changes.

Note

Warning messages appear when you try to make changes. These messages contain important information. Please take the time to read them before you continue.

Edit Office Address

The fields on the Edit Office Address page are as follows:

Make the necessary changes to the information and select the Save button.

Select the Cancel button to abandon any changes.

Select the Return to Manage Party button if you want to return to the Manage Party screen without saving any changes on this screen.

Edit Billing Address

The fields on the Enter Billing Address page are as follows:

Make the necessary changes to the information and select the Save button.

Select the Cancel button to abandon any changes.

Select the Return to Manage Party button if you want to return to the Manage Party screen without saving any changes on this screen.

Add/Edit Supporting Documents

On-Account Numbers

For information about how to add on-account numbers, see Get Started.

To edit or delete an existing on-account number, select Edit.

Mandatory Party Contacts

On the Mandatory Party Contacts page, you may update:

Principal Contacts:

Secondary Contacts:

The Edit link next to a field indicates information that you can change.

Select any edit link to begin modifying the mandatory party contacts.

Edit Profile Authority

To edit information displayed for the current Profile Authority, edit the associated Contact Profile by selecting the Manage Profile tab at the top of the screen.

Refer to the Manage Profile section of this document for more information.

To invite another person to be the Profile Authority, enter their email address in the Email Address (Required) field and select the Invite button. The status of the invitation is displayed as "Pending Acceptance."

Add an expiry date for the invitation in the Invitation Expiry Date field if needed.

Alternately, you can select Cancel Invite and invite another person to be the Profile Authority.

Edit Profile Manager

To edit information displayed for the current Profile Manager, edit the associated Contact Profile. Select the Manage Profile tab at the top of the screen and refer to the Manage Profile section of this document for more information.

To invite another person to be the Profile Manager, enter their email address in the Email Address (Required) field and select the Invite button. The status of the invitation is displayed as "Pending Acceptance."

Alternately, you can select Cancel Invite and invite another person to be the Profile Manager.

Edit Alternate Profile Manager

To invite another person to be the Alternate Profile Manager, enter their email address in the Email Address (Required) field and select the Invite button. The status of the invitation is displayed as "Pending Acceptance."

Alternately, you can select Cancel Invite and invite another person to be the Alternate Profile Manager.

Edit Regulatory Contact

On the Manage Party - Regulatory Contact screen, make the required changes to:

Select Save.

Select Cancel to abandon the updates.

Note

The regulatory contact is an individual who the CFIA may contact to arrange inspection activities, provide inspection findings or work with on inspection-related issues during regular business hours.

Edit Emergency Contact

On the Manage Party - Emergency Contact screen, make any required changes to:

Select Save.

Select Cancel to abandon the updates.

Note

The emergency contact is the person that CFIA will call first when there is something that requires attention outside of normal business hours (i.e., in the case of a required commodity recall or virus outbreak).

Invite/Edit/Delete Party Contact

To add a Party Contact, select the +Add Party Contact button.

In the Invite Party Contact screen, enter the email address of the person you wish to invite in the Email Address (Required) field and select the Invite button. The status of the invitation is displayed as "Pending Acceptance." The person has 15 days to accept the invitation before it is automatically cancelled.

To return to the Manage Party screen without sending an invitation, select the Return to Manage Party button. If you wish to cancel the invitation immediately, select the Cancel Invite button.

To cancel a pending invitation from the Manage Party screen, select an invitation from the Pending Party Contact Invitations area.

Add/Edit/Delete Party ASP

To add a Party ASP, select the +Add Party ASP button.

On the Invite Party ASP screen, enter any or all of the following:

Select the Search button.

When the search is complete, any ASP matching the search criteria will be displayed in the Showing ASPs table. Select an ASP from the table and on the ASP Details screen, select the Invite button.

The status of the invitation is displayed as "Pending Acceptance." The ASP has 15 days to accept the invitation before it is automatically cancelled. To return to the ASP Search screen without inviting the selected ASP, select the Return to ASP Search button.

Add/Edit Establishments

Select the +Add New Establishment button to add a new establishment.

On the Add Establishment Details screen, enter any or all of the following:

Three required drop-down menus:

  • Establishment Condition
  • Establishment Name
  • Preferred Language

Two open text fields:

  • Hours of Operation
  • Days of Operation

If this establishment has been issued a permission by the CFIA prior to the coming into force of the Safe Food for Canadians Regulations (SFCR) on January 15, 2019, it may have been assigned a Facility Registration Number. For example, if you previously obtained a honey registration, you may have a number linked to your facility.

After adding your establishment details, you can add a Facility Registration Number if your establishment has one.

If you have an existing CFIA Facility Registration number, select the Add Facility Registration Number button to begin adding a new number. You will then be prompted to enter your existing number and identify the type of number it is. Once you've added the number, select Save and Next

If you don't have a previous facility registration number for this establishment, select Next step.

If this establishment has been issued a permission in the past, it may have been assigned a Facility Registration Number. Enter the numbers below if applicable. You can add multiple numbers by clicking the "Add Facility Registration Number" button below.

The Add Facility Registration Button is above a table with the following columns:

  • Facility Registration Number
  • Type
  • Edit

On the Add Establishment Address page, select items from the drop-down menus and complete the required fields:

Select the Next Step button.

Select the Back button if you want to abandon the changes on this screen.

Select the Save & Return Later button if you want to save your changes and return to the Manage Party screen.

On the Add Establishment Contact page select items from the drop-down menus and complete the required fields:

Select the Next Step button.

Select the Back button if you want to abandon the changes on this screen.

Select the Save & Return Later button if you want to save your changes and return to the Manage Party screen.

Select the +Add Another Season button to add a new season.

On the Add Season page select from the drop-down menus and complete the required fields:

Select the Save button.

Select the Cancel button if you want to abandon the changes on this screen.

Select the Next Step button to return to the Add Establishment – Add Season page. The season you just added will be displayed.

Select the Edit button for any season in the list displayed on the Add Establishment – Add Season page to open the Add Season page to make required changes.

Add, edit or delete the Facility Registration Number

If this establishment has been issued a permission by the CFIA prior to the coming into force of the Safe Food for Canadians Regulations (SFCR) on January 15, 2019, it may have been assigned a Facility Registration Number. For example, if you previously obtained a Honey registration, you may have a number linked to your facility.

To view, add, edit or delete the facility registration number to an existing establishment profile, sign in to your My CFIA account. Once signed in, make sure your validated party is selected by clicking the white drop down box under Party Administration, clicking on the proper validated party and clicking Select:

Now, select the Manage party link:

Next, scroll down to the Establishments section and select the Edit link next to the establishment that you'd like to add, edit or delete the facility registration number for.

Beneath the Add New Establishment button is a table with the following headings:

  • Establishment Name
  • Facility Registration Number
  • Status
  • Status Reason
  • Edit

The first screen you see after selecting Edit provides you with the opportunity to make changes to your establishment details. Select Next step until you reach the Add Existing Facility Registration Numbers screen.

To add an Existing Facility Registration number for the first time, select Add Facility Registration Number. You will then be prompted to enter your existing number and identify the type of number it is. Once you've added the number, select Save and Next

To edit or delete your Facility Registration Number, select Edit:

Beneath the Add Facility Registration Number button is a table with the following titles:

  • Facility Registration Number
  • Type
  • Edit

On the next screen, you can select the Delete button to delete your Facility Registration Number, or edit your existing Facility Registration Number or number type. If you are editing your Facility Registration number, select Save once complete.

One require drop-down menu field titled Type.

During this process, if you are experiencing difficulties, call the CFIA's Centre of Administration at 1-800-442-2342.

Add/Edit Operating Names

Select the +Add New Operating Name button to add a new Operating Name to the party profile.

Enter an operating name in the Name field and select the Save button.

Select the Cancel button if you want to abandon the changes on this screen.

Select the Edit button for an operating name in the list displayed on the Manage Party – Operating Names section to make changes to an operating name.
